Privacy Policy

This Privacy Policy explains what information Hot Melt Supply Company LLC ("HMSC", "we", "us") collects when you use www.hotmeltsupplyco.com (the "store"), how we use it, who we share it with, and the choices you have. HMSC sells replacement parts for hot melt equipment to businesses. If you have a question about this policy, contact us using the details at the end.

The store runs on BigCommerce, an online store platform that hosts the site, the cart and the checkout for us.

Information we collect

We collect information you give us, information created when you shop with us, and some information collected automatically when you visit the store.

  • Account information: your name, company name, email address, phone number, billing and shipping addresses, and your password (stored by BigCommerce in protected form, never visible to us).
  • Order information: the parts you order, prices, shipping method, tax details (for example a tax exemption certificate), order history and the messages about your order.
  • Quotes, contact forms, email and phone calls: what you send or tell us when you ask for a quote or help, such as your name, company, contact details, part numbers, equipment details and photos of a part or its label.
  • Product reviews: your name and review if you post one.
  • Cookies and analytics: pages you view, products you look at or add to the cart, searches on the store, the site that sent you to us, and similar usage information. See "Cookies, analytics and advertising" below.
  • Device information: your IP address, browser type, device type, operating system, language and the general location that can be worked out from your IP address.

How we use information

  • To process, ship and support your orders, including returns and warranty questions.
  • To answer your questions, prepare quotes and help you identify the right replacement part.
  • To run your account and show your order history.
  • To send order and shipping notices.
  • To keep the store secure, block spam and fraud, and fix problems.
  • To understand how the store is used and improve it, and to measure our advertising.
  • To keep business, tax and accounting records and to meet legal requirements.

Payments

Card payments are processed by the payment gateway built into our BigCommerce checkout, and by PayPal when you choose PayPal. Your card details go straight from the secure checkout to the payment processor. HMSC does not have access to your card details. We see only the payment method used and the payment status of your order.

How we share information

We share information only as needed to run the store and serve you:

  • Service providers that work for us: BigCommerce (store platform, hosting and checkout), payment processors, shipping carriers (name, address, phone and package details so they can deliver), our accounting and inventory software (Intuit QuickBooks and Fishbowl), where we record customers, orders and invoices, and the analytics, advertising and security services named below.
  • Legal requests: when the law requires it, or to protect our rights, our customers or the public, for example to prevent fraud.
  • Business transfers: if HMSC is sold or merged, customer records may move to the new owner under this policy.

We do not sell your personal information for money. Advertising cookies (Google Ads, below) may count as "sharing" or "targeted advertising" under some state privacy laws; you can opt out as described in "Your choices".

Cookies, analytics and advertising

Cookies are small files a website stores in your browser. The store uses cookies that it needs to work (your cart, your sign in, the checkout and security), and cookies and similar tools from these services:

  • BigCommerce: store operation, checkout, visitor statistics and bot protection.
  • Google Analytics: counts visits and shows how the store is used.
  • Google Ads: measures which of our ads lead to visits and orders, and shows our ads to people who have visited the store (remarketing).
  • Google reCAPTCHA: protects our forms (for example the contact form and product reviews) from spam. It sends information about your device and how you use the page to Google.
  • PayPal: shows PayPal payment and Pay Later messages on product pages and runs PayPal at checkout.
  • PixelPop: shows pop-up messages on the store. It does not collect email addresses.
  • Google Fonts and public code libraries (Google, jQuery, Cloudflare): deliver the fonts and scripts the pages use. Your browser sends your IP address to them when it loads these files.

Google's use of this information is described in its own privacy policy (policies.google.com/privacy). PayPal's is at paypal.com.

Your choices

  • Cookies: you can block or delete cookies in your browser settings. If you block the cookies the store needs, the cart, sign in and checkout will not work.
  • Google Analytics: you can install Google's opt-out browser add-on (tools.google.com/dlpage/gaoptout).
  • Google ads: you can turn off personalized ads in your Google account settings (myadcenter.google.com).
  • Global Privacy Control: the store does not yet respond automatically to this browser signal. To opt out of targeted advertising, use the Google setting above or contact us, and we will honor the request.
  • Email: we do not send a newsletter or marketing emails at this time. We send messages about your orders, quotes and questions. If we start a newsletter, it will be sign up only and every email will have an unsubscribe link.

How long we keep information

We keep account, order and tax records while your account is open and for seven years after your last order, for tax, accounting, warranty and legal reasons. We keep quote and contact messages for three years unless they become part of an order. Analytics data is kept according to the settings of the analytics service. When we no longer need information, we delete it or remove the details that identify you.

Security

The store and checkout use encrypted connections (HTTPS). BigCommerce hosts the store on a platform that meets the card industry security standard (PCI DSS). Only HMSC staff who need your information to do their work can see it. No method of sending or storing information is completely secure, so we cannot promise absolute security. If you think your account has been misused, contact us right away.

Children

The store is for businesses and adults. It is not directed to children, and we do not knowingly collect personal information from anyone under 18. If you believe a child has given us information, contact us and we will delete it.

Links to other sites

The store links to other sites, for example the HMSC Tools Portal (hmsc-quote-api.onrender.com), which holds our gun configurator, troubleshooters, quote builder and calculators. The Tools Portal is a separate site with its own terms. This policy covers www.hotmeltsupplyco.com only. Sites run by others, such as PayPal, Google and the shipping carriers, have their own privacy policies.

Your privacy rights

Depending on where you live (for example California, Colorado, Connecticut, Virginia and other states with consumer privacy laws), you may have the right to:

  • know what personal information we have about you and get a copy of it;
  • correct information that is wrong;
  • delete your information, except what we must keep (for example order records for taxes);
  • opt out of targeted advertising, of any sale or sharing of personal information, and of profiling;
  • not be treated differently for using these rights.

We honor these requests where the law applies to us, and we try to honor them for every customer where we can. To make a request, email sales@hotmeltsupplyco.com with "Privacy request" in the subject, or call 1-888-202-1788. We will confirm your identity by matching the request to information we already have (for example the email address on your account or an order number), and we will answer within 45 days. You may use an authorized agent; we will ask for proof that the agent may act for you. If we decline your request, you may appeal by replying to our answer. If you are not satisfied with the result of the appeal, you may contact the attorney general of your state.

The store is run from the United States, and your information is processed and stored in the United States.
